This policy explains how Cyborg Calisthenics Laboratory (“Cyborg”, “we”, “us”) handles personal information through our website, member and staff systems, bookings, communications, and advertising measurement. Cyborg operates calisthenics training services in Cairo, Egypt.
1. Information we collect
Depending on how you interact with Cyborg, we may collect:
- Identity and contact details such as your name, telephone number, email address, date of birth, gender, and Instagram username when you provide them.
- Booking, attendance, membership, payment-status, branch, session, coaching, assessment, and training-progress information.
- Messages, questions, preferences, feedback, and information you choose to send to our staff.
- Account and security information used to authenticate members or staff and protect the service.
- Technical information such as device/browser data, diagnostic events, IP-derived security information, cookies, and local-storage identifiers where applicable.
- Advertising-attribution information such as UTM parameters, Meta click identifiers, campaign/ad identifiers, and an Instagram-scoped user identifier when a person starts a conversation from a Cyborg advertisement.
Our Instagram attribution system stores the minimum referral information needed to connect an advertisement with a conversation and subsequent booking outcome. It does not retain Instagram message bodies in the ad-referral event log.
2. How we obtain information
We receive information:
- Directly from you through our website, booking forms, membership process, messages, calls, or in-person interactions.
- From staff when they record bookings, attendance, memberships, payments, assessments, or service notes.
- From connected services you use to contact or book with us, such as Instagram, Meta advertising services, Jotform, payment providers, and email or notification services.
- Automatically through necessary website storage, security logs, diagnostics, and advertising attribution when enabled.
3. Why we use information
We use personal information to:
- Answer enquiries and provide requested information.
- Create, manage, reschedule, and cancel trials, classes, memberships, and related services.
- Manage attendance, training delivery, member support, safety, operational reporting, and service quality.
- Process and record transactions and payment status through the relevant payment channel.
- Send confirmations, reminders, service notices, and communications you request or reasonably expect.
- Measure which advertisements lead to conversations, bookings, attendance, and subscriptions so we can improve marketing efficiency.
- Protect accounts, prevent abuse or fraud, diagnose faults, and maintain the security and reliability of our systems.
- Meet applicable legal, accounting, regulatory, or dispute-resolution requirements.
4. Advertising and Instagram referrals
If you open an Instagram conversation from a Cyborg advertisement, Meta may provide Cyborg with an Instagram-scoped identifier and referral details such as the ad ID, referral source, timestamp, and limited creative context. We use this information to understand advertising performance and, when reasonably matched, connect the conversation with a booking or attendance outcome. Advertising reports may also use aggregated results.
Meta processes information under its own terms and privacy policy. Cyborg does not control Meta’s independent processing.
5. When we share information
We do not sell personal information. We may disclose only what is reasonably necessary to:
- Technology and hosting providers that operate our website, database, authentication, messaging, email, notification, diagnostics, forms, and infrastructure.
- Payment providers and financial or accounting service providers involved in a transaction.
- Meta and other advertising providers where measurement or campaign operation requires it.
- Professional advisers, authorities, courts, or regulators when required by law or necessary to establish, exercise, or defend legal rights.
- A successor organisation if Cyborg undergoes a genuine reorganisation, merger, or transfer, subject to appropriate safeguards.
Some providers may process information in countries outside Egypt under their contractual and security arrangements.
6. Retention
We keep information only for as long as reasonably necessary for the purposes described above, including providing services, maintaining accurate attendance and membership records, resolving disputes, preventing abuse, and satisfying applicable legal, tax, or accounting obligations. Retention varies by record type. We delete or de-identify information when it is no longer reasonably needed, unless continued retention is required or permitted by law.
7. Security
We use access controls, restricted administrative privileges, encrypted network connections, database security rules, secret management, audit controls, and other proportionate safeguards. No system can guarantee absolute security, and you should avoid sending sensitive information through unsecured messages.
8. Your choices and requests
Subject to applicable law and appropriate identity verification, you may ask us to:
- Confirm whether we hold personal information about you.
- Access, correct, or update your information.
- Delete information that is no longer required.
- Object to or restrict particular processing, or withdraw consent where processing depends on consent.
- Stop optional marketing communications.
See our Data Deletion Instructions. We may retain limited information where necessary for legal obligations, security, fraud prevention, accounting, or the establishment or defence of legal claims.
9. External services and links
Our website may link to Instagram, Facebook, WhatsApp, maps, forms, payment services, or other third-party services. Their privacy practices are governed by their own policies.
10. Changes to this policy
